1. Scope

This Privacy Policy explains how AI Solutions Team, LLC and its BENI Voice platform ("BENI Voice," "we," "us") collect, use, share, and protect information in connection with benivoice.com and the voice, SMS, and scheduling services we provide.

BENI Voice is primarily a platform used by our clients — employers, insurance brokers, and third-party benefits administrators — to communicate with their own employees or plan members. If you're a plan member who received a call or text, your information is being processed on behalf of that client. If you're a client evaluating or using BENI Voice directly, this policy also covers the information we collect from you as a platform user.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information — name, phone number, email address, employer, and mailing address.
  • Enrollment information — plan selections, dependent and beneficiary details, appointment times, and eligibility data provided by our client for the purpose of running an enrollment call.
  • Call & message content — recordings, transcripts, and structured data captured during voice calls and SMS conversations, as described in Section 3.
  • Platform account information — for client users, login credentials, workspace configuration, and billing details.
  • Technical information — IP address, browser type, and usage data collected automatically when you visit benivoice.com or use platform tools.

3. Call recordings & transcripts

Voice calls placed or received through BENI Voice are typically recorded and transcribed. Before recording begins, our voice agent discloses that the call may be recorded and confirms consent, as described in our SMS & Voice Communications Terms. We use recordings and transcripts to:

  • Complete the enrollment task the call was placed for (for example, booking an appointment or capturing a plan selection).
  • Maintain a compliance record of what was disclosed and what was agreed to.
  • Improve the accuracy and quality of our AI voice agent, generally using de-identified or aggregated data where practical.

Recordings and transcripts are stored within the workspace of the client who placed the call and are not accessible to other BENI Voice clients.

4. SMS & voice communications data

When you exchange text messages or calls with BENI Voice, we collect your phone number, message content, delivery status, and opt-in/opt-out status. This data is used to operate the messaging and calling program described in our SMS & Voice Communications Terms and is not used to send you unrelated marketing from third parties. Mobile opt-in information and consent status are not shared with third parties for their own marketing purposes.

5. How we use information

  • To place, receive, and route the calls and texts our clients ask us to send on their behalf.
  • To schedule, confirm, and manage benefits-enrollment appointments.
  • To maintain accurate consent, opt-out, and compliance records.
  • To secure, operate, and improve the BENI Voice platform, including detecting fraud and abuse.
  • To communicate with client users about their account, billing, and platform updates.
  • To meet legal, regulatory, and contractual obligations, including those related to HIPAA and telecommunications law.

6. How we share information

We do not sell personal information. We share information only as needed to operate the platform, with the following categories of service providers, each engaged under a contract that limits their use of the data:

We may also share information: with the client on whose behalf a call or text was sent (since they engaged you); with service providers who support hosting, analytics, and customer support; when required by law, subpoena, or legal process; or as part of a merger, acquisition, or sale of assets, subject to continued protection under this policy.

7. Protected health information

Some enrollment conversations may involve information related to health plan elections that can qualify as protected health information ("PHI") under HIPAA. Where BENI Voice processes PHI on behalf of a client that is a HIPAA-covered entity or business associate, we do so under a Business Associate Agreement ("BAA") with that client, and we work with subprocessors selected in part for their willingness to support a BAA. Our platform architecture — including per-tenant workspace isolation, encryption, and audit logging — is designed around HIPAA's technical safeguard requirements from the outset. This section describes our architecture and contractual approach; it is not a claim of independent HIPAA certification, as no such formal certification exists under U.S. law.

8. Data security

We use administrative, technical, and physical safeguards designed to protect information, including encryption of data in transit and at rest, workspace-level access controls (row-level security on every table), authentication requirements for platform access, and logging of access to sensitive records. No system is completely secure, and we encourage client users to safeguard their own account credentials.

9. Data retention

We retain call recordings, transcripts, and enrollment data for as long as needed to fulfill the purpose it was collected for, meet our contractual obligations to the client, and satisfy legal, tax, and regulatory retention requirements. Specific retention periods are generally set out in our agreement with the client on whose behalf data was collected. You can ask the organization that contacted you about their specific retention practices, or contact us directly using Section 13.

10. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain uses of it. Where BENI Voice processes your information on behalf of a client (for example, as your employer's benefits platform), the client is typically the party responsible for responding to these requests, and we assist them in doing so. You can also submit a request directly to us using the contact details below, and we will route it appropriately.

  • Access & correction — request a copy of the information we hold about you, or ask us to correct it.
  • Deletion — request deletion of your information, subject to our legal and contractual retention obligations.
  • Opt-out — opt out of SMS and voice communications at any time, as described in our SMS & Voice Communications Terms.

11. Children's privacy

BENI Voice is intended for use by working-age adults engaging with employee benefits programs. We do not knowingly collect personal information from children under 13, and our services are not directed to children.

12. Changes to this policy

We may update this Privacy Policy as our services evolve or as required by law. We'll update the "Last updated" date above when we do, and for material changes, we'll provide additional notice where appropriate.
